Barcelona is a fiscal jurisdiction that punishes hotels who guess. Every corporate booking that walks out of our reception with an incorrect factura comes back within a week from a corporate finance department that reads the mentions obligatoires more carefully than we do. The old process at Palau de Fusta was this: the front desk filled in a Word template at checkout, sent it to our accountant, our accountant recomputed the accommodation VAT split by hand, and the invoice arrived with the guest two days later, if it arrived correctly. Three times a month, on average, we would miss the split between the accommodation rate (10 percent VAT) and the breakfast supplement (10 percent VAT with the different treatment) and the ancillary services (21 percent). Three times a month we had to reissue.

Hotelminder proposed EU Fiscal Composer during our scoping call last December. Laurent, the advisor, spent the first thirty minutes on the wrong module — he was pushing Distribution Intelligence Layer, and I was politely pushing back because Insights already gave us what we needed. When I described the factura problem he stopped mid-sentence and said, correctly, that this was the module for us. That kind of pivot mid-call is what a scoping call is supposed to do, and it is what most vendors will not do because they are compensated on selling the module they came in with.

EU Fiscal Composer now generates the Spanish factura at checkout, correctly split between accommodation, breakfast and ancillaries, correctly stamped with our CIF and the guest's CIF or NIF, and archived against the SiteMinder reservation as a PDF the tax authority will accept. My accountant sends a thank-you note every quarter. That is not a sentence I expected to write. In the last three months the count of re-issued facturas is exactly zero. The count of corporate finance emails asking for a corrected document is exactly zero.

The second module — GuestJoy Concierge Expander — I bought partly out of curiosity and partly because Laurent showed me the template library. Sixty-two hand-authored templates, written by the Hotelminder advisory team, in six languages including Catalan. The templates are the differentiator. Every guest messaging tool I had looked at before this one shipped with variations on "Dear valued guest, we look forward to hosting you". These templates are written the way a Barcelona concierge writes to a guest — a note about the walking route from the airport train, a discreet mention that reception is staffed until 23:00 for late arrivals, an offer to hold luggage from 10:00 for early check-ins. The tone is warm, exact, quietly professional. It does not read as generated because it is not generated — it is human-written and slotted in.

WhatsApp pre-arrival response rate has moved from 41 percent (email only) to 73 percent (email plus WhatsApp mirrored). More importantly for us, my chef gets his dietary notes 48 hours in advance, my reception knows which room is going to a honeymoon booking before the guest arrives, and my night manager has stopped being surprised by a 22:30 check-in he did not see coming. All of that lives on top of GuestJoy inside SiteMinder — no separate database, no double entry.

The third module, Review Response Studio, was the one I resisted longest. My concern was voice. Palau de Fusta has a specific way of replying to reviews, and I had watched two prior tools try and fail to imitate that voice — either too formal or too casual, either signed by "the management team" (which we never do) or by a name we had never used. Hotelminder's advisor said the Studio ingests eight to fifteen of our published replies and derives a voice profile from them. I said, fine, but I want to read every draft before it publishes. She said, that is the workflow — nothing publishes without human approval.

The voice model landed within three days of the pilot start. It knew, without being told, that we address English-language guests by first name, that we address Spanish-language guests as "estimado" plus surname, that our replies open with a specific idiosyncratic phrase our night manager wrote into two dozen responses last year. My review reply time has moved from six days to eighteen hours because now I edit rather than write. Reviews that used to sit in the queue for a week get a warm, specific reply within a business day. My star average has gone up 0.1 in the last four months, which is not a number I would publish anywhere except in this letter, because I honestly do not know whether it is causation or coincidence.

What I would say to another boutique Director considering the shortlist: the value of Hotelminder is not the modules, which are individually good but not miraculous. The value is the advisor who sat with me for three hours across two calls and told me, twice, that a module I wanted to buy was not the right one for my property. Nobody else in this market will tell you that.
