Fifteen questions we answer on almost every scoping call.

The advisor who answers your Hotelminder scoping call will happily answer any of these live — but if you would rather read the position ahead of the call, here they are.

What is Hotelminder, in one sentence?
Hotelminder is an independent European advisory and a hand-picked marketplace of ten third-party add-on modules for hoteliers who already run SiteMinder. Boutique-first (10 to 80 rooms), vetted on real pilot properties, not affiliated with SiteMinder Limited.
Why buy through Hotelminder rather than direct from the vendor?
Every module in the shortlist is available directly from its vendor and we will happily point you to their sales page. What Hotelminder adds is: an advisor-led scoping call to check the fit before you install, the two-hotel pilot data behind the entry, a written Hotelminder implementation guide, and a boutique-sized price posture. If those four are not worth the marketplace price to you, please buy direct — we would rather send you away well than sell you a badly-fitting module.
What does the scoping call actually look like?
Thirty minutes on video, one advisor, no slide deck. Half the time is you describing the property, the operational pain, and the current SiteMinder tier. Half is the advisor either matching one or two modules from the shortlist to your situation or explaining honestly why none of them fit and recommending an alternative outside our store.
What is the pilot pack?
The onboarding pilot pack is the first-month setup work bundled with each plan: scoping call, module install, SiteMinder API mapping, two-week post-launch review with the advisor. The first month of the module subscription itself is included with the pilot pack — you pay from month two onwards.
So the first month is included with onboarding?
Yes. When you activate a module through Hotelminder, the first calendar month of the module subscription is included with the onboarding pilot pack. This is not a promotional gimmick — it exists because most boutique properties need three to four weeks of live use before an honest decision about whether the module belongs on the stack is possible.
How does cancellation work?
Every module is billed monthly. Cancellation is possible at any time with 30 days written notice to billing@mindermod.org. No exit fee, no data-hostage clause — the export of any data the module holds about your property is included as part of the cancellation. No long contracts, ever.
Does the EU Fiscal Composer handle my country?
Currently: France, Italy, Germany, Spain, Portugal and the Netherlands are live. Austria and Belgium are on the 2027 roadmap. Each country activation is signed off by a locally qualified accountant on the Hotelminder fiscal roster — the French templates are reviewed by an expert-comptable, the Italian ones by a dottore commercialista, and so on.
Are the 62 WhatsApp templates in GuestJoy Concierge Expander editable?
Yes and yes. Every one of the 62 hand-authored templates ships as a starting point — a boutique property that runs the module edits them to house voice during onboarding. The point of the templates is not that you use them verbatim; it is that you do not start from a blank message field at three in the afternoon on a busy Friday.
What makes Rate Reasoner different from a generic revenue-management tool?
Two things. First, every suggested tariff carries a written one-sentence reason — the person at reception can defend the price to a guest without falling back on "market signal". Second, nothing is auto-published: every suggestion sits in a human-in-the-loop queue until the on-duty person clicks confirm. This is a boutique-tuned pricing layer, not a black-box optimiser.
How does portfolio pricing work?
The Portfolio plan starts at €149 per property per month and covers two to five properties running on SiteMinder Multi-Property, with the Portfolio Sync Fabric module included. Six-plus properties or a group with unusual geographical or operational spread receives a written proposal within five working days of the scoping call. There is no volume kickback structure — the pricing is transparent.
What is the refund posture and the right of withdrawal?
The French Code de la consommation right of withdrawal (droit de rétractation) applies for the first fourteen days from the date of the first invoice, per L221-18 & L221-28. Beyond that window, cancellation is by 30 days' notice with no exit fee. Full details on the refund policy page.
How does Hotelminder handle data protection and RGPD?
Hotelminder is registered with the CNIL under déclaration n° 2224789 and the Data Protection Officer is Camille Dubois-Renard, reachable at dpo@mindermod.org. Guest data processed by each module is documented in the Data Processing Addendum. TLS 1.3 in transit, AES-256 at rest, MFA on every admin account. Full posture on the security page.
Where is Hotelminder data hosted?
All Hotelminder services are hosted on OVHcloud Roubaix, France. Data residency is EU. Backups are geo-distributed within OVHcloud's French footprint — no transfer outside the European Economic Area. Sub-processors are listed on the security page with their own residency notes.
Who are the sub-processors?
The current roster: OVHcloud (hosting, France), Cloudflare (edge and DDoS mitigation, EU points-of-presence), Stripe (payments processing, EU-based data), Postmark (transactional email, EU region), Datadog EU (observability, EU tenant), Sentry EU (error tracking, EU tenant), Meta WhatsApp Business Cloud (only if you activate the concierge module). The Data Processing Addendum enumerates the purpose and duration for each.
How do I get in touch?
Fastest route is the scoping-call request form. If you prefer email, hello@mindermod.org reaches the advisory team; advisor@mindermod.org reaches the on-duty advisor directly. Response within one working day, from a real person, in EN or FR by default.
Something not answered here? Every scoping call ends with an open Q&A. If you would like the answer in writing before the call, drop the question in the message box on the contact form and the advisor will reply by email before booking the slot.
